Note:

This is an upcoming feature for Samsung GSPN Integration tenants using Fixably Part Requests.

What is the Incoming Part Allocation module?

  • The Part Allocation feature aims to streamline the process of assigning incoming parts to pending repair orders.
  • Many repair companies use highly manual processes and team knowledge to determine the optimal allocation based on factors like warranty status, order age, and stock availability.
  • The part allocation feature aims to make this process easier and more efficient for Parts users. 

How does it work?

Fixably will look at all open orders with order lines that are not in draft state and that don’t have status Parts ordered, collected, received, Parts arrived

The Part Allocation feature looks at all open Orders with:

  • Order Lines that have been confirmed (not in draft state)
  • Order Line status is any of:
    • Pending Purchase
    • Part Requested
    • Ready for Collection
    • Collection Rejected

If the Order Lines status is any of the following, it will not be visible in Incoming Part Allocation: 

  • Draft
  • Part Ordered
  • Part Collected
  • Part Arrived
     

The system will then compare these Order Lines to:

  • Items that are available in any Stock in your tenant.
  • Incoming Stock Keeping or OFS Purchase Orders that is not already assigned to another Order Line


Based on this logic, Fixably will show Orders that can be completed and Other orders requiring parts.

 

Orders that can be completed

In this section, Fixably will show all Orders that can be fully completed.

Fully Completed in this case means that every Order Line is available in either available in Stock or in a pending Purchase Order.

 

Other orders requiring parts

In this section, Fixably will show Orders that have some parts available in Stock or in a pending Purchase Order, but is not possible to fully complete this order currently. 
 

 

Using Incoming Part Allocation

The user can expand each Order to investigate which Parts are needed. This keeps the allocation process transparent and provides the parts team with visibility for the big picture.

 

Available Parts

The Available Parts section shows a complete list of Parts that can be allocated to Orders. This includes:

  • Items that are already in Stock
    • Type = In Stock
  • Items that are listed in an Incoming OFS Order
    • Type = 
  • Items that are listed in an Incoming Stock Keeping Order
    • Type =

If a User selects an Order, the system will reserve/allocate available parts. 

If an item is listed as “Available” in multiple ways, the following priority is taken:

  • Item from Stock
  • Item in an Incoming Stock Keeping Order
  • Item in an Incoming OFS Order

As Parts are reserved, the available quantities and list of Orders that can be completed will automatically refresh.

The User can filter available parts by:

  • Part number
  • Part name
  • Stock
  • Service Location
  • Tracking number


If the User is filtering by the tracking number, Fixably will highlight only parts that are associated with that tracking number. These parts would be selected by default.
 

Upcoming Update: Marking Parts as Missing

The user is presented with an option to mark parts missing.


This option indicates that selected parts / selected shipments have not arrived at the service location and these parts can’t be used.

When the user marks parts as missing, the system will open a dialogue indicating to the User that these parts will be unallocated from the connected Orders.

If the Purchase Order Type = Urgent, this logic does not apply.

If the user selects yes, the system will unallocate the parts.
