Handling a Part Request when all items are in Stock
- Under the All Parts Available tab, select the Part Request you wish to action and click the Assign button.
- The request will automatically be assigned to you (under the Owner column). It will also open to display the parts that are needed.
- Once you have physically collected the parts, select them in the Part Request and click the Mark Allocated option.
- If would like to action an individual item rather than the whole request, you can also access the Mark Allocated option under the gear menu.
- Once the parts have been allocated, the Part Status will change to Parts Ready to Be Collected.
- The technician will also see the Order Line Status update to Parts Ready to Be Collected.
- If needed, you can also print a Part Collection label.
- When the technician comes to collect their parts, they should select the Order Lines being received.
- Once all required Order Lines are selected, click the Receive Part button.
- The Order Line status will update to Parts Collected.
Modifying a request if some items are out of stock
- If an item is actually out of stock, click the Change to Pending Purchase button. This will change the Part Status to Pending Purchase and will remove the item from the Part Request list.
- If you use GSPN, the request will show up in Purchase Orders > GSPN Part Ordering.
- If you would like to reject a request for a specific part, click the Reject button. This will cancel the request for that item.
- If desired, both actions can also be performed on multiple parts.
- You can also change which Stock a Part is allocated from. Click the Stock drop-down menu to make any required changes.
