How do I harvest parts from a device
Take working parts off a device on an order, grade them, and put them into a Harvested stock for reuse or resale.

Overview
This guide shows you how to harvest parts from a device that will not be repaired, for example the screen, battery or camera from a write-off. Each harvested part is graded for condition, recorded as a line on the order the device is on, and received into a Harvested stock, so you always know which device it came from.
Harvesting takes three steps: open Harvest parts on the device, choose the parts and their details, and select Harvest.
Before you begin
- The device is on an order. You always harvest from a device attached to an order, and the order should be at the location whose stock will hold the parts.
- Your role includes Harvest device parts. If Harvest parts is not in the device menu, ask your administrator.
- The setup is done. Grades, harvest products for this device model and a Harvested stock at your location all need to exist. If something is missing the screen tells you; see Troubleshooting below.
Steps
1. Open the harvest screen
- Open the order the device is on.
- Open the device's actions menu (the dropdown on the device panel).
- Select Harvest parts.
The harvest screen opens in the right-hand panel and lists every part that can be harvested from this device model.
2. Choose the parts
- Use the filter box at the top to find a part by product code or name if the list is long.
- Tick the checkbox next to each part you are taking off the device. Each ticked part expands to show its details.
- If the part you removed is not in the list and you have permission to create products, select Create New Harvesting Part, enter the part number, name, price and VAT, and select Create part. The new part is linked to this device model and appears in the list straight away.
3. Fill in the details for each part

| Warehouse position | Shown only if your account uses warehouse positions and the chosen stock has a shelf structure. Pick the shelf the part will be put away on, or use + Add new if you may create positions. |
4. Harvest
Select Harvest. You see the confirmation Parts harvested, and each part is added to the order as a harvest line carrying its grade and target stock.
What happens next
- The harvested parts show as lines on the order with a negative quantity, which is how Fixably records a part coming off a device rather than going onto it.
- The parts are received into the chosen Harvested stock when those lines are dispatched. In most workflows this happens automatically when the order is closed; on Fixably Depot it may be done by your closing macro.
- Once in stock, the parts are available for other repairs like any other stock item, each tagged with its grade and traceable to the device and order it came from in Stocks → Stock logs.
Printing labels
Print labels for the harvested parts from the order lines or from the stock's product list. Each label shows the order ID and client ID, product name, category and serial, the device model and serial it was harvested from, the stock it went into, the grade, and the harvester. Stick the label on the part before it goes on the shelf so it can always be matched back to its device.
Troubleshooting
- "Harvest parts" is not in the device menu – either part harvesting is not enabled for your account, or your role does not include the Harvest device parts permission. Ask your administrator.
- No parts appear on the harvest screen – no harvest product is linked to this device model. Ask your administrator to link one, or create it yourself with Create New Harvesting Part if the button is shown.
- No stocks in "Select stock" – there is no Harvested stock at this order's location. Ask your administrator to create one.
- "Grade is required for item" / "Stock is required for item" – you ticked a part without choosing its grade or stock. Every ticked part needs both.
- "Serial number is required for item" – this part is serial-tracked. Enter its serial number.
- "Grade doesn't match with stock grade" – the stock you chose only accepts one grade. Pick a stock that matches the grade, or ask your administrator to clear the grade restriction on the stock.
- The part was harvested but is not in stock yet – the harvest line has not been dispatched. It arrives in stock when the order is closed or the line is dispatched.
Getting support
If harvesting is not working as expected, contact your administrator or Fixably support with the order number, the device, and a screenshot of the harvest screen or the error message.
