Harvesting parts from a device

Audience: Service technicians and store users who take working parts off a device and put them back into stock for reuse or resale.
Overview
Part harvesting lets you take working parts off a device — for example a screen, battery, or camera from a device that won't be repaired — and put them straight into a stock as graded, reusable parts. Each part is recorded on the order the device is on, so you always know where it came from.
Harvesting a part takes 3 steps:
- Open the device on its order and choose Harvest parts.
- Pick the parts, set quantity, grade, and target stock.
- Select Harvest to add them to stock.
Device on an order → Harvest parts → Pick parts + grade + stock → Harvest → Parts in stock
Before you begin
A few things need to be in place before the Harvest parts option appears and works:
- Part harvesting is turned on for your account. This is enabled by Fixably, not in your own settings. If you don't see the Harvest parts option (see Open the harvest screen below), contact Fixably support to have it switched on.
- You have permission to harvest. Harvesting is controlled by its own permission. If the option is hidden, your role may not include it.
- At least one harvested stock exists. Only stocks of type Harvested can hold harvested parts. An administrator creates these under System Settings → Stocks (select New Stock and set the type to Harvested).
- At least one grade exists. Each harvested part needs a condition grade. Administrators set these up under System Settings → Grades. See Grades below.
- The device is on an order. You always harvest from a device that is on an order.
Steps
1. Open the harvest screen
- Open the order the device is on.
- Open the device's actions menu (the dropdown on the device panel).
- Select Harvest parts.
The harvest screen opens in the right-hand panel and lists the parts that can be harvested from this device.
The list shows the parts that fit this device model. If it's empty, this model has no parts set up for harvesting — see Troubleshooting.
2. Choose the parts
- If the list is long, use the filter box at the top to find a part by product code or product name.
- Tick the checkbox next to each part you want to harvest. Each ticked part opens to show its details.
3. Fill in the details for each part
For every part you ticked, set:
- Quantity — how many of this part you're harvesting (1 or more).
- Serial number — shown only for parts that have a serial number. Enter the part's own serial number.
- Select grade — the condition grade for the part (for example "as new", "good", or "for parts"). Required.
- Select stock — the stock the part should go into. Only Harvested stocks for your order's location appear here. Required.
4. Harvest
Select Harvest.
Check it worked: the parts are added to the order, and they're now available in the stock you chose, each tagged with its grade.
Grades
Grades describe the condition of a harvested part so the next person knows what they're picking up.
- Administrators manage grades under System Settings → Grades.
- Each grade has a name and a value, and can be turned on or off.
- You choose a grade for every part when you harvest it.
A grade that's already in use can't be deleted — turn it off instead if you no longer want it offered.
Part labels
When you print labels for harvested parts, each label shows the details you need to find and store the part:
- Order ID and Client ID
- Product name, product category, and product serial
- Device model and device serial it was harvested from
- The stock it went into
- The grade
- The harvester (the person handling the order)
This makes it easy to match a part in your hand to the device it came from and the stock it belongs in.
Troubleshooting
No parts appear on the harvest screen
This device model has no parts set up for harvesting. Ask your administrator to add the parts that fit this model.
"Harvest parts" isn't in the device menu
Either part harvesting isn't enabled for your account, or your role doesn't include the harvest permission. Part harvesting itself is enabled by Fixably — contact Fixably support to turn it on. The harvest permission is set by your own administrator.
"Grade is required for item" / "Stock is required for item"
You ticked a part but didn't pick a grade or a stock for it. Every part needs both before you can harvest.
"Serial number is required for item"
This part is tracked by serial number, so it needs one. Enter it in the Serial number field for that part.
No stocks in the "Select stock" list
There's no Harvested stock for your location yet. Ask an administrator to create one under System Settings → Stocks.
Getting support
If harvesting isn't working the way you expect, contact your administrator or Fixably support. It helps to include the order number, the device, and a screenshot of the harvest screen or the error message you saw.
