There are two options for how invoices can be exported:
Option 1: Manually in Invoice list view
- When the Automatically export invoice information to Xero upon invoice creation setting is disabled:
- An invoice can be pushed to Xero in the list view through the Xero Menu.
- The Xero Menu is available in:
- Side menu/Invoicing/Receipts
- Side menu/Invoicing/Single invoices
- Side menu/Invoicing/Consolidated invoices
Option 2: Automatically upon creation
- When the Automatically export invoice information to Xero upon invoice creation setting is enabled:
- When a Receipt or Single Invoice is created, it is automatically pushed to Xero.
- The synchronization happens every 5 minutes.
- An invoice can still be pushed to Xero in the list view through the Xero Menu.
- Consolidated invoices need to be pushed manually in the consolidated Invoice list view.
Additional Details:
- With both options, Fixably creates a customer in Xero if the customer has not been previously created in Xero by Fixably.
- When a customer is created through Xero, we store the external customer ID in the Fixably database, which we use every time we do an invoice export for that customer.
- Customer information is updated in Xero in every invoice export
- Ledger account information will be exported with the invoice for the invoice lines, products and payment type.
- Ledger account information can be set in
- System Settings/Payment type
- System Settings/Product categories
- By default, export will use Product Card ledger information
- If the Product does not have ledger accounts set, the Product inherits Product Category ledger account information.
- If the Product category does not have ledger accounts set, the Product inherits corresponding Fallback/Suspense Account information

- If Automatically export product information to Xero is disabled:
- Exports invoice to Xero.
- Creates a customer record in Xero if the Xero customer ID is not found in the Fixably database.
- Does not upload product information to Xero, only Invoice information.
- Invoice lines have product information, but these are not mapped to Xero products.
- Exports invoice to Xero.
- If Automatically export product information to Xero is enabled:
- Exports invoice to Xero.
- Creates a customer record in Xero if the Xero customer ID is not found in the Fixably database.
- Exports the invoice’s order line product(s) to Xero.
- Creates product record(s) in Xero if the Xero product ID (s) are not found from the Fixably database (same logic as customer export).
- Info included: Product code, description, quantity, external tax ID, price
- At the moment, Product information is not updated automatically after the first export
- You will need to update product information in Xero if the product is modified in Fixably (does not apply to pricing, as product price is always exported in invoice line)
- Maps invoice line items to accounting system products
- Requires Product Category Invoice Tax Rate & Billing Tax Rate to be mapped. Please see Mandatory System Settings in the setup documentation.
- Creates product record(s) in Xero if the Xero product ID (s) are not found from the Fixably database (same logic as customer export).
- Exports invoice to Xero.
