How do I check in a customer who booked an appointment?
Check in a customer who booked through the Appointment calendar: open the appointment, mark them arrived, and run your check-in macro so the device is received and ready for the bench.
Audience: front desk staff and service advisors who check in customers who booked ahead.
When a customer books through your Appointment calendar, Fixably creates their order straight away, with the customer, the device and the issue already filled in. When the customer walks in, you don't start from scratch. You open their appointment, mark them as arrived, and run your check-in macro to confirm the details and receive the device. This article checks in a customer at an Austin store with the Check-in iOS macro.

Before you start
- The Appointment calendar is switched on for your account by Fixably support. See Appointment Manager – User Guide.
- To mark arrivals and receive orders, your role needs the Appointment visit permission.
- Only dashboard macros (macros that aren't tied to a queue) show up on an appointment. Your check-in macro is usually one of them.
- The customer didn't book? Use How do I check in a walk-in customer with a macro? instead. If they have a booked order but no appointment in the calendar, see How do I receive a booked order and start the repair?
Find the appointment
- On the home page, the Appointments panel lists today's bookings for your location. You can click a row to open the appointment straight from here.
- For the full day or week, open Orders in the sidebar and select Appointment calendar. Each booking shows its order number and the customer's name.
- Click the customer's appointment. The appointment panel opens on the right with everything from the booking: the customer's phone and email, the time slot, the service type, the device and serial number, and the issue.
Mark the customer as arrived
- In the appointment panel, click the ... button and choose Mark arrived.
- The calendar reloads. Click the appointment again: Status now reads Visited, and the visit is recorded on the order's timeline.
Run the check-in macro
- Next to Receive, click the lightning bolt button and choose your check-in macro, for example Check-in iOS. The macro runs on the order the booking created.
- On the Device step, the serial number is already filled in from the booking. The booking only stored the model as text, so pick the exact model from the Device Catalogue list. Click Next.
- On the Issue description step, the issue the customer gave when booking is already there. Add anything they tell you at the counter. Click Next.
- On the Repair Details step, enter the device passcode, so the technician can test the device, and what the customer is leaving with it. Click Next.
- On the Customer details step, the customer's name, phone and email are already filled in, so there's no need to search. Complete what's missing, such as the address, and click Next. Fixably now runs the automatic steps: it turns the booking into a real order and marks the device as received.
- On the Gather Customer Signature step, send the order authorization to the customer's tablet, or click Skip. See How do I capture a customer signature at check-in?
- On the Print receipt and Print Repair Sticker steps, click Print while the customer is still at the counter, or click Skip.
What you get
When the macro finishes, the order opens. It's the same order number the booking created:
- The order is in the right queue, for example iPhone, based on the device.
- The device is received and Internal location reads In service, so the turnaround clock is running.
- The appointment and the customer's visit are on the timeline.

- The passcode and accessories are saved on the order as answered tasks. The passcode stays hidden until someone clicks Reveal data.
- The customer card shows the address you added.

Good to know
- No check-in macro? Click Receive in the appointment panel instead. It marks the customer as arrived and receives the order in one click, then opens the order.
- Mark arrived first. Running a macro receives the order but doesn't change the appointment itself. If you skip Mark arrived, the appointment stays Booked on the calendar and on the home page.
- Don't see the lightning bolt? It only appears when at least one dashboard macro is available to your role. Ask Fixably support to make your check-in macro visible on the dashboard.
- Wrong details on the booking? Fix the customer's details with Edit in the appointment panel, or correct them in the macro's Customer details step.
- Customer didn't show up? Once the appointment time has passed, a No-show button appears in the appointment panel.
