    What is the Basel Document?

    The Basel document is an official waste-shipment notice required by the Basel Convention when shipping bulk Apple part returns to certain recycling facilities. Fixably generates a properly formatted, pre-filled PDF in one click – ready to print and include with your shipment.

    Who needs it?

    You need a Basel document when shipping bulk returns to one of these facilities:

    • Breda (Netherlands)
    • Dubai (United Arab Emirates)
    • Lutterworth (United Kingdom)
    • Ostrava (Czech Republic)
    • Strancice (Czech Republic)

    Before you start

    1. The Basel feature must be enabled on your account (contact Fixably support if it's not).
    2. Your shipping location must have a complete address and phone number.
    3. The technician printing the document must have a saved signature on their user profile.
    4. All parts in the bulk return must belong together – same kind of return, same destination facility, same originating shipping location. (See the rules section below.)

    How to print

    1. Open the bulk return in GSX > Part Returns.
    2. Confirm the shipment first. The print options only appear once the bulk return reaches Confirmed or Completed status. While it's still in Pending or Registered, you'll see the Submit, Confirm Shipment, and Delete buttons instead.
    3. Once the status is Confirmed or Completed, the print buttons appear:
      • Print bulk return label
      • Print returns packing list
      • Print Basel document (if your facility supports it)
    4. Click Print Basel document, download the PDF, print it, and include it with your shipment.

    What gets filled in automatically

    Field on the form Where it comes from
    Person arranging transport – name The technician's full name
    Person arranging transport – address & phone The shipping location
    Start date of transport Today's date
    Country of export The shipping location's country
    Country of import Fixed for each facility (e.g. Netherlands for Breda)
    Handler declaration – name, function, date Technician's name, "Technician", today's date
    Handler declaration – signature The technician's saved signature
    Equipment description (checkboxes) Based on the kind of return – see below
    Quantity of equipment Number of parts in the bulk return

    How the checkboxes are decided

    The "Description of the equipment" checkboxes are filled in automatically, based on the kind of return:

    • Carry-in or onsite repair returns (modules and components from in-store/onsite repairs): the form is marked as a Part Return, with both Electronic Component and Electronic Accessory ticked.
    • Mail-in returns (whole units): the form is marked as a Mail-in Return, with both Smart Electronic Device and Computer ticked.

    You don't tick anything by hand – Fixably figures it out from the parts in the bulk return and stamps the correct boxes for you.

    Important rules about bulk return contents

    The Basel document represents one shipment to one facility. For Fixably to generate it, all parts in the bulk return must belong together:

    • All from the same kind of return (all carry-in, or all mail-in – not mixed)
    • All going to the same destination facility
    • All originating from the same shipping location

    If the parts don't agree on any of those, the PDF won't generate and you'll see a clear error message. To avoid this, group parts that belong together when you build the bulk return – before confirming the shipment. If you only notice the problem after confirmation, contact Fixably support.

    Things to know

    • The date on the document is the date you print it — not the date the bulk return was created. Print on the day you ship.
    • If the technician has no saved signature, generation will fail. Add a signature to the user profile and retry.
    • The Basel PDF isn't stored anywhere – it's regenerated each time you click the button, so feel free to reprint as needed.

    Troubleshooting

    Problem What to check
    "Print Basel document" button is missing Is the bulk return in Confirmed or Completed status? (It's hidden in Pending and Registered.) Is the destination one of the five supported facilities? Is the Basel feature enabled for your account? Does the user have permission to view GSX part returns?
    Error about parts not matching (return type, warehouse city, or ship-to) The bulk return mixes parts that don't belong together. If the bulk return hasn't been confirmed yet, rebuild it so each one contains a consistent set of parts. If it's already confirmed, contact Fixably support.
    Error: "Cannot find shipto location" The shipping location for these parts isn't set up correctly in Fixably. Check the location's GSX settings.
    Signature is blank on the printed PDF The technician has no saved signature. Add one to their user profile.
    Wrong country on the export field The shipping location's country is set incorrectly. An admin can correct it in System Settings → Locations; reprint after the change is saved.
    Wrong checkboxes ticked The parts have a return kind Fixably didn't recognise. Contact Fixably support so we can investigate.
