Refunds overview
The two ways to give money back in Fixably, refunding a product line or voiding an invoice, and when to use each one.
Audience: front desk staff, service managers and anyone who handles payments and invoices.
Sometimes money has to go back to a customer: a returned accessory, a part that wasn't needed, or a bill that was simply wrong. Fixably gives you two tools for this. Add Refund gives back the money for one item on an order. Void invoice cancels a whole invoice. This article explains when to use each one and links to the step-by-step guides.

Refund a product (Add Refund)
Use it when the customer returns one item but keeps the rest. For example, a customer in Dallas paid for a charging port repair and a spare cable, then brings the cable back.
Add Refund works at the line level. You refund one specific item, and the rest of the order stays as it is. Every line under Products and services has its own action menu. Click the product code to open it, then choose Add Refund.

Fixably adds a refund line to the order. You then return the money from the Charge menu (the cart icon) with Charge. For the full steps, see How do I refund payments?
Void an invoice
Use it when the whole bill was wrong or needs to be cancelled.
Voiding cancels the whole invoice document, not just one line. Go to Invoicing > Single Invoices, click the gear menu on the invoice and choose Void invoice.

For the full steps, including how to find voided invoices later, see How do I Void an Invoice?
Which one should I use?
| Situation | Use |
|---|---|
| The customer returns one item and keeps the rest | Add Refund on that line |
| A part was charged but wasn't needed | Add Refund on that line |
| The whole invoice was wrong or needs cancelling | Void invoice |
Good to know
- Both actions depend on your user permissions. If you don't see Add Refund or Void invoice, ask your administrator.
- Both actions are logged, so you can always see who did what. Nothing disappears quietly.
- To give back a deposit, see the "Refunding a Deposit" section in How do I refund payments?
