Before Getting Started
Fixably needs to enable the GSPN integration in your tenant. Please reach out to your account manager for more details if you are looking to use this integration.
Overview
Once the integration is enabled, you can add your Samsung account details and choose how the integration behaves.
Setup takes five steps:
- Add your SoldTo account.
- Add a ShipTo account for each service location.
- Link each Fixably location to its ShipTo.
- Choose your general settings.
- Check the connection.

5. Check the connection
Verify IGSPN setupBefore you begin
- You need an active Samsung ASC agreement with GSPN access.
- Samsung only accepts connections from approved addresses. Your account manager arranges this approval with Samsung when the integration is enabled.
- For your SoldTo account and for each ShipTo account, have these details from Samsung ready:
- the ASC code, with its leading zeroes (for example,
12345678is entered as0012345678), - the GSPN user ID and password.
- the ASC code, with its leading zeroes (for example,
- You need the permission to manage IGSPN system settings. Without it, the IGSPN pages do not appear under Integrations.
Setup steps
GSPN accounts follow Samsung's own structure:
- A SoldTo account is your business. It is the main account that Samsung contracts with.
- A ShipTo account is one of your service locations. Each ShipTo belongs to a SoldTo.
If you have only one service location, your SoldTo may be all you need. Ask Samsung if you are not sure which ASC codes you have.
Step 1: Add your SoldTo account
- Open System Settings from the menu in the top right, then Integrations, then IGSPN.
- Under Admin operations, click Add new IGSPN soldto account. A panel opens on the right.
- Fill in the fields:
| Field | What to put in it |
|---|---|
| ASC Code | Your SoldTo ASC code from Samsung, with leading zeroes. |
| ASC Name | The name of your service center, as Samsung knows it. |
| User id | Your GSPN user ID. |
| Password | Your GSPN password. |
| B2B | Tick this if the account is used for business (B2B) services. |
| Name for soldto account | The name this account has in Fixably, for example Samsung Nordics. If you leave it empty, Fixably uses the ASC code. |
- Click Save.
You do not enter a Samsung company code or country. Fixably sets both from your account's country.
The account now appears in the Integrations menu as IGSPN followed by its name.
When you save your first SoldTo account, Fixably also sets you up to start working straight away. It adds default GSPN settings, GSPN check-in and check-out macros, the GSPN tasks, and the Samsung device brand if you do not have it yet.
Step 2: Add a ShipTo account for each service location
- In the Integrations menu, open your SoldTo account (IGSPN followed by its name).
- Under Shipto Accounts, click Add new shipto account. A panel opens on the right.
- Fill in the fields:
| Field | What to put in it |
|---|---|
| ASC Code | The ShipTo ASC code for this location, with leading zeroes. |
| ASC Name | The name of this location, as Samsung knows it. |
| User id | The GSPN user ID for this location. |
| Password | The GSPN password for this location. |
- Click Save.
A ShipTo takes its B2B setting, company code and country from its SoldTo, so you do not set them again.
Each ShipTo is listed under Shipto Accounts on the SoldTo page. To change one, click Edit next to it.
Step 3: Link each Fixably location to its ShipTo
Fixably uses the location of an order to decide which Samsung account a repair belongs to. Link each location to its ShipTo:

- Open System Settings, then Locations, and open the location.
- Click Advanced Settings, and find the section named after your SoldTo account.
- In Ship-To, enter the location's ShipTo ASC code, with leading zeroes. You can also enter the SoldTo ASC code if the location works directly under the SoldTo.
- Save the location.
Repeat this for each location. If you leave Ship-To empty, the location uses the default shown in the field.
When you move an order to another location, Fixably moves its Samsung repair to that location's account too.
Step 4: Choose your general settings
Go back to System Settings > Integrations > IGSPN. The settings at the top of the page, under IGSPN General settings, control how the integration behaves. Each one is described below.

| Setting | What it does |
|---|---|
| Select service types used | The Samsung service types your team can choose when creating a repair (carry-in, pick-up, in-home and so on). |
| Select lab types used | The Samsung lab types (the repair level, for example L1 - Level 1 Repair) your team can choose on a repair. |
| Ignored WER errors | Samsung warranty error (WER) codes that should not stop a repair from closing. |
| DHL UK API key | Lets Fixably look up DHL tracking numbers for your shipments. Only shown for accounts in the United Kingdom. |
| Escalation partner ASC Code | The ASC codes of the partner workshops you escalate repairs to, with leading zeroes. |
| Update status after repair creation | After Fixably creates a service order, moves it on to Waiting for product or Product received, depending on whether the device has arrived. |
| Dispatch order lines after repair closed | Dispatches the order's parts automatically when the repair is closed in GSPN. |
| Prefer same shipto on DO_BALANCE_SEARCH | When Fixably looks up the delivery order (DO) number for a part, it prefers delivery orders from the repair's own ShipTo. |
| Prefer OFS parts order over Urgent part orders by default | Pre-ticks OFS instead of Urgent on the parts ordering page, for non-mobile parts. Only shown if you use OFS. |
| Delivery Order balance check excluded parts | Part numbers to leave out of the delivery order check. Use * as a wildcard. |
| Common Xero contact id for ACK list Customers | The Xero contact to use for customers created from the ack list. Only shown if you use Xero. |
| Common Xero contact id for ACK list B2B Customers | The same, for business customers created from the ack list. Only shown if you use Xero. |
| Clear old warranty data | Deletes customer data from in-warranty repairs closed more than 100 days ago. |
| Use SO number for PO item reference | On urgent purchase orders, uses the GSPN service order number (for example 4000000001_1) as the item reference instead of the Fixably order ID. |
| Require shipping dates for PS on ST40 | Pick-up Service repairs need the customer shipping date before they can be completed. |
| Force 60 km distance | Always sends 60 km as the travel distance on in-home repairs, whatever is entered. Samsung recommends this. |
| Enable Ack List fetching | Imports the new jobs Samsung assigns to you (the ack list) as Fixably orders every 5 minutes. |
| Used cancel reason codes | The cancellation reasons your team can choose. If you pick none, all reasons are available. Click Edit cancel reason descriptions to change the wording your team sees. |
Click Save settings when you are done.
A few technical options, such as the Samsung environment and how Samsung statuses map to your Fixably statuses, are set up by Fixably for you. Ask your account manager if you want to change them.
User permissions control who can create, update, cancel and close Samsung repairs, order parts and handle part returns. Set them on your user roles.
Step 5: Check the connection
On the IGSPN page, under Admin operations, click Verify IGSPN setup. This checks that Fixably can reach GSPN with the details you entered.
If the check fails, look again at the ASC code, user ID and password on the account, then try again. If it still fails, contact Fixably support.
Under Admin operations you also find two import tools:
- Import repairs brings existing GSPN service orders into Fixably from a spreadsheet. This helps when you start using Fixably with jobs already open in GSPN.
-
Import models adds Samsung device models from an
.xlsxor.csvfile.

Fetch data from IGSPN
Fixably copies Samsung's reference data, such as codes and models, on a schedule. The buttons under Fetch data from IGSPN, on the IGSPN page, fetch it at once. They are useful right after setup, or when Samsung has just added something you need. Updating the codes may take some time.
| Button | What it fetches |
|---|---|
| Fetch and update iris codes | Samsung's IRIS codes, used to record the condition, symptom, defect and repair on a job. |
| Fetch and update symptom codes | Samsung's symptom codes, used to describe the fault when creating a repair. |
| Fetch and update models | Samsung's device model details, so Fixably can recognize the models on your repairs. |
| Fetch Ack Repairs | New consumer (B2C) jobs Samsung has assigned to you, imported as Fixably orders. |
| Fetch Ack B2B Repairs | New business (B2B) jobs Samsung has assigned to you, imported as Fixably orders. |
| Fetch and update Part Collection list | The parts Samsung wants you to send back. |

Work codes and flat rates
Work codes are the labor and freight products Fixably adds to Samsung repairs automatically. Flat rates are fixed-price labor products. Each SoldTo account has its own prices.
To manage them, open the SoldTo account in the Integrations menu and use the buttons under Actions:
-
Work code products import uploads your Samsung work code price list as an
.xlsxfile. It sets the labor and freight prices for in-warranty and out-of-warranty repairs. You can add a customer column for customer-specific prices. - Download work code prices downloads your current work code prices, for all customers or for one customer.
-
Flat rate products import uploads your flat rate prices by model, as an
.xlsxor.csvfile.
