Creating a Price List
From the Navigation Sidebar, click Other and then Price Lists.

You will see any previously created Price Lists. You can also create a new Price List.

To get started, click the New Price List button.

The New Price List form will appear:

-
Name
- Name of the Price List
- This is visible in the Order View for Employees to know which Price List applies to an Order
- This is visible in the Order Lines when the price for an item has been taken from a Price List
-
Reference
- Reference value of the Price List
- This is visible in the Order View
-
Customer
- Price Lists are typically tied to a specific customer.
- You can also make this the customer's default price list. For newly created Orders, this Price List will be automatically set.
-
Device Definition
- This is an optional setting.
- Price Lists can be applied to specific families of devices if desired.
- The device being serviced on the Order needs to match the device definition specified.
-
Minimum and Maximum Price
- Minimum and Maximum Price add pricing controls to your price list.
- Some companies will provide a service provider with a maximum price before they need to get a quote approved. For some, this may be a few hundred dollars. For others, this is 0, and every order must be quoted.
- When the value of the Products on your order exceeds the maximum price, the Order will automatically be placed into a quote approval status.
- When using Roles & Permissions, you can control which users can approve these and move the order to the next step.
-
BER Price
- BER price is another level of pricing control for your price list.
- Some companies will provide a service provider with a maximum price before a unit is no longer repairable and should be shipped back, harvested for parts or scrapped.
- When the value of the Products on your order exceeds the BER price, the Order will automatically be placed into a BER approval status.
- When using Roles & Permissions, you can control which users can approve these and move the order to the next step.
-
Size
- This is an optional setting.
- This allows you to specify how many Orders this price list should apply for.
- Once the number of orders is reached, the Price List will no longer be available for new Orders.
-
Start and End Date
- This is an optional setting.
- This allows you to specify a start and end date for your Price List.
- If an Order is created outside of the specified dates, the Price List will no longer be available.
When you are done, click Save.

To view or modify the parameters of the Price List, click on the Gear and then Edit.

You will see the previously entered information. Details can be modified as desired.

Adding Items to Price Lists
To add items (Products or Product Categories) to your Price List, click on the Gear and then Show Items.

The items (Products or Product Categories) currently added to your Price List will be visible.

Click the Add Item button to add a new product or category to your price list.

To add a new product, click the Product radio button and then search for your desired item.

To add a new product category, click the Product category radio button and then search for your product category.

To set a fixed price for an item or category, click the Price radio button and then enter your desired value.

You can also modify your prices automatically but using the Margin radio button.

-
Base
- Use the Base setting to add a fixed amount to the cost of an item, rather than using a %.
- Example: If the GSX price of an item is $/€100, a base setting of $/€50 makes the selling price $/€150.
-
Minimum
- Think of minimum values as stairs, allowing you to price different costs of parts with different %s.
- Example Settings:
- Stair 1: minimum of 0.01 - Margin 50%
- Stair 2: minimum of 10 - Margin 30%
- Stair 3: minimum 100 - Margin 15%
- Example Outcomes:
- Between 0.01 --> 10 - Applies a 50% margin to the cost price.
- Between 10 --> 100 - Applies a 30% margin to the cost price
- Anything beyond 100 (until it hits another minimum value) - Applies a 15% margin to the cost price
-
Markup
- Fixably uses standard Markup calculations.
-
Margin
- Fixably uses standard Profit Margin calculations.

When you are done, click Save.

Importing Price Lists

Importing Price Lists
If you are adding a more detailed item-level price list, we recommend importing it rather than adding items individually. There are two imports, and both need the Price list import permission.
- Import price list: on the Price Lists page. Creates a new Price List and its items from one file.
- Import items: on an open Price List. Adds or updates items in that Price List.
Before you start
- File format: .csv or .xlsx. For a CSV file, choose the delimiter (semicolon or comma) when you upload.
- Header row: the first row must contain the column names. Matching ignores case and spaces, so Margin base, marginbase and MarginBase all work.
- Products and Product Categories must already exist in Fixably. The import does not create them.
Importing a new Price List
- Go to Price Lists and click Import price list.
- Select your file and, for a CSV file, the delimiter.
- Click Import. Any errors are listed by row number. Rows without errors are still saved.
Use the Price List columns below together with the item columns described in the next section.
| Column | Required | Notes |
| Name | Yes | |
| Reference | Yes | |
| Customer ID, Company or Email | One of them | Checked in that order. Company and Email must match exactly one customer. |
| Device brand and Device model | No | Fill in both or neither. They must match an existing device definition. |
| Min price, Max price, Ber price | No | |
| Size | No | Maximum number of Orders. Leave empty or enter 0 for no limit. |
| Start date, End date | No | Use a standard date format, for example 2026-10-05. |
Importing items into an existing Price List
- Open the Price List and click Import items.
- Select your file and, for a CSV file, the delimiter.
- Click Import.
| Column | Notes |
| Product id, Product code or Product category | One per row. Checked in that order. Product code must match exactly one product. |
| ProductPrice | A fixed price for the item. |
| Margin base, Margin, Margin fix, Margin minimum | A price based on the product's purchase price. See Margin columns below. |
On each row, enter either a ProductPrice or the four margin columns. If a row has both, the margin is used. If a product is already in the Price List, its row updates the existing item.
Margin columns
Use the margin columns when you want an item's price to follow the product's purchase price instead of being fixed. The price is calculated each time the product is added to an Order:
Price = purchase price + Margin base - Margin fix
The purchase price is the product's purchase price in stock, so Price List prices update when it changes.
| Column | What it does | Allowed values |
| Margin base | Amount added to the purchase price. | 0 to 99,999 |
| Margin | Saved with the item and shown on the Price List. Does not change the price. | 0 to 99.999 |
| Margin fix | Amount subtracted at the end, used to get price endings like .90 or .95. | 0 to 1 |
| Margin minimum | Saved with the item and shown on the Price List. Does not change the price. | 0 to 99,999,999.99 |
Example: a product's purchase price is 50.00. The row has Margin base 10, Margin 20, Margin fix 0.10 and Margin minimum 1.
Price = 50.00 + 10 - 0.10 = 59.90
Rules for filling in margins
- Fill in all four columns. If any of them is empty, the margin on that row is ignored.
-
Do not use 0. The import treats 0 as an empty cell, so a 0 in any margin column also means the margin is ignored.
- Margin: enter any value from 0.001 to 99.999. It does not affect the price.
- Margin minimum: enter any positive value, for example 1. It does not affect the price.
- Margin fix: the lowest value that works is 0.01. You cannot import a margin without a price ending.
Exporting Price Lists
You can export your Price List to XLSX or CSV under the Actions button.
